The purpose of this requirement is to acquire a logistical support contract to support the fulfillment of requirements for the planning and implementation of scientific conferences, workshops, meetings, Data and Safety Monitoring Boards (DSMBs) and other NINDS hosted, sponsored, or co-sponsored events; here-on referred to as “events”, unless otherwise referred to individually.

Technical Requirements: This requirement will support all event-related activities from the early planning stages to finalizing all the pre-event details, including, but not limited to, potential last-minute changes, oversight, support and staffing of the event and post event activities, all while maintaining close interaction and communications with the NINDS COR throughout the process.

The NINDS Contracting Officer’s Representative (COR), in partnership with the Contracting Officer (CO) will provide a list of approved events to the contractor at the beginning of each option period, NINDS will provide periodic updates to the contractor for workload planning purposes.

All tasks shall be completed in accordance with the National Institutes of Health and Federal Government policies, rules, and regulations. As such, the contractor shall develop or procure and maintain registration pages, websites, recordings, PDF documents and other resources in accordance with 508 compliances. Registration, polling, and surveys shall be prepared in accordance with the Paperwork Reduction Act of 1995. General Requirements:   For each scientific event the contractor shall provide services which may include, but are not limited to, activities such as: Pre-Planning and Logistical Support Services: The contractor shall schedule a kick-off call and subsequent planning calls, as appropriate for each sponsored event. Calls may be weekly, bi-weekly, or at the frequency agreed upon with NINDS Program staff. The contractor shall also develop the planning call agenda, provide meeting notes after each call, and update the project plan on a routine basis, highlighting upcoming deliverables and deadlines. The contractor may also be asked to assist with scheduling planning committee or working group calls.  During the pre-planning stage the contractor may be asked to assist with date selection, which can include polling key participants for availability, create invitations, and save the date and other announcements. The period of performance for the base year of this Contract will be 06/06/2024-03/05/2025 (9 months) with 4 one-year option periods.
